Volunteer Roles, Task & Responsibilities
Responsibilities: Manages the development and scheduling of meditation sessions, retreats, and classes. Ensures programs meet the needs of the community and align with the group’s mission and vision statements.
Tasks: Plans the yearly calendar of events, coordinates with instructors and guest teachers, and updates online schedules. Works closely with the Marketing Coordinator to ensure programs are well-promoted.
Responsibilities: recruits, trains, and oversees volunteers to assist with group operations and events, creating a volunteer directory.
Tasks: Creates and maintains a schedule of volunteers/shifts, “organizes orientations”, develops and distributes training materials, and provides ongoing support and recognition for volunteers. Coordinates volunteer work during events, ensuring smooth operations.
Responsibilities: Acts as a liaison between the meditation instructors and the group's administrative team. Develops a schedule of talks, one-day and weekend retreats, workshops, beginning and advanced classes; selects and coordinates with Dharma teachers, special guests, community presenters and class instructors; and more. Sends request to SBMG web admin to add BIPOC Sangha events to SBMG calendar, updates/sends request for BIPOC Sangha website calendar to be updated with event information.
Tasks: Schedules meditation teachers and confirms facilitators schedule, ensures adherence to the center’s teaching guidelines. Manages instructor dana disbursement in a timely manner.
Responsibilities: Promotes the center and its events through social media, newsletters, website updates, and print materials to ensure high visibility and engagement.
Tasks: Manages social media accounts, creates marketing content, writes newsletters, and maintains the website. Develops promotional materials and collaborates with the Program Coordinator to ensure events are well-advertised.
Responsibilities: Manages financial aspects of the sangha, including donations, budget tracking, and expense management.
Tasks: Retrieves and submits dana (donations) to SBMG through the established system. Stays in contact with the SBMG treasurer to receive updates about the current balance of BIPOC sangha fund. Creates tracking/oversight of the allocated expenses (tracking where/how funds disbursed from the BIPOC Sangha fund are subsequently spent). Ensures dana for teachers is distributed in a timely manner. Works with the other BIPOC Sangha teams to determine fundraising goals and track progress.
Responsibilities: Organizes the logistics for all events and retreats, including space setup, supply management, and guest accommodations.
Tasks: Ensures that rooms are set up appropriately for each event, arranges food and beverages for extended programs, and manages logistical needs like AV equipment and seating. Coordinates with the Program Coordinator and Volunteer Coordinator to assign staff and volunteers as needed.
Responsibilities: Builds relationships with local communities, organizations, and individuals who may benefit from the center’s offerings.
Tasks: Organizes outreach activities, represents the center at community events, and partners with local businesses or nonprofits. Develops strategies to make meditation accessible to diverse groups and marginalized communities.
Responsibilities: Arrives about 30 to 20 minutes early (or as needed) to events, or stays 30 to 20 minutes later, or as needed to ensure that the space in the meditation hall, kitchen or other areas are set up to the needs of the event, or restored to their default state after the event.
Task: Arranges and dismantles event spaces, helping with chairs, tables, mats, and other setup needs. Ensures that rooms are restored to their original state after events.
Responsibilities: Ensures that all audio-visual components are set up, monitored, and smoothly operated for meditation sessions, events, and live-streaming. This role is essential for delivering high-quality in-person and virtual experiences.
Tasks:
Equipment Setup: Retrieve AV equipment from the storage room before each sit or event, including microphones, speakers, cameras, and TVs. Set up and test microphones to ensure clear audio for in-person and virtual attendees.
Zoom Operations: Launch the Zoom session and monitor the chat and participant room throughout the sit, addressing any technical issues or participant needs in real-time, ensuring recording of the session.
Technical Troubleshooting: Troubleshoot any audio-visual or streaming issues that arise during sessions to minimize disruptions. Remain on-call during the sit for quick resolutions.
Equipment Breakdown & Storage: Carefully break down and pack all AV equipment after each session. Ensure equipment is cleaned, organized, and safely returned to the storage room, securing cables and components properly.
